Position Description:

Ecompex is recruiting for an Administrative Support Specialist to provide Knowledge Management and Program Support Services to the Department of Homeland Security. The candidate’s role will be crucial in accomplishing various missions to provide the necessary security for information sharing and to enable DHS to provide federal, state, and local officials with the technology and capabilities to protect the homeland. Some responsibilities of this role can include writing memos, managing calendars, managing project tasks, developing effective and detailed reports, managing travel arrangements among other administrative duties.

Minimum Qualifications:

  • Must be a US Citizen and be able to pass a Tier 1 background investigation to be placed in a position of Public Trust.
  • Must possess a B.A. or B.S. degree and have 5 or more years of relevant experience.

Desired Qualifications:

  • Extensive experience with Microsoft Office suite including SharePoint, Word, Excel.
  • Strong communication, written, and verbal skills.
  • Proficient task management skills.

Required Skills:

  • Experience with writing memos, filing, and managing documentation.
  • Experience with Excel and developing spreadsheets to track project progress and tasks.
  • Proficient in managing executives’ calendars, scheduling meetings, and writing descriptive meeting notes.
  • Proficient in coordinating travel arrangements.
  • Experience developing detailed reports and briefing executives.

Responsibilities:

  • Perform various administrative tasks including writing memos, filing, typing, and copying documents.
  • Develop spreadsheets and maintain program, project, and task files along with technical support information for program and project managers.
  • Organize and manage calendars for one or more managers, schedule meetings, take meeting notes, and distribute them to attendees.
  • Prepare correspondence, briefs, and reports, and assist in planning, initiating, and tracking task assignments and associated data.
  • Assist in preparing and processing travel arrangements and maintain travel requests and records.
  • Distribute and monitor taskings, data calls, and coordinate troubleshoot requests as needed.
